What Data Does Paid Copilot Access?

This is one of the most common questions we get, and it’s a fair one. If you’re paying $20 – $30 a user for Microsoft 365 Copilot, you want to know exactly what it’s looking at – and just as important, what it’s not.

The short answer: paid Copilot can access anything the signed-in user already has permission to see in your Microsoft 365 tenant. Nothing more, nothing less.

What that includes:
  • Emails and calendar in Outlook
  • Files in OneDrive (the user's personal work storage)
  • Files in SharePoint sites they're a member of
  • Teams chats, channels, and meeting transcripts
  • Documents in Word, Excel, and PowerPoint
  • Notes in OneNote and tasks in Planner/To Do
So if your sales rep asks Copilot to “summarize last week’s client meetings,” it pulls from their calendar, their email threads, and their Teams transcripts. It can’t peek into the CEO’s inbox or HR’s salary spreadsheet unless that rep already had access (which they shouldn’t).
What it does NOT do:
  • It doesn't train Microsoft's public AI models on your data
  • It doesn't share your info with other tenants or customers
  • It doesn't bypass existing file permissions
  • It doesn't send data to third parties
Before you deploy, do this:
  • Audit SharePoint and OneDrive sharing settings
  • Review who has access to sensitive folders
  • Turn on Microsoft Purview if you handle regulated data
