Explain Data Loss Prevention (DLP) Rules

Data Loss Prevention – or DLP for short – is exactly what it sounds like. It’s a set of rules that stops sensitive information from leaking out of your business, whether on purpose or by accident.

Most data leaks aren’t dramatic Hollywood hacks. They’re an employee emailing a spreadsheet to the wrong person, uploading a client list to their personal Dropbox, or pasting credit card numbers into a chat. DLP is the safety net that catches those moments before they become a problem.

How DLP rules actually work. You tell the system what to watch for, where to watch, and what to do when it spots something. The system does the rest in the background.

A few real-world examples:
  • Block an email if it contains a Social Security number being sent to an outside address
  • Block an email if it contains a Social Security number being sent to an outside address
  • Stop a credit card number from being pasted into a Teams chat
  • Prevent a financial report from being uploaded to a personal OneDrive
  • Alert IT when someone tries to email a customer database externally
The three things every DLP rule needs:
  • A trigger – what kind of data are we looking for? (SSNs, credit cards, health records, custom keywords)
  • A location – where do we enforce it? (Email, Teams, SharePoint, OneDrive, endpoints)
  • An action – what happens when we find it? (Block, warn, log, notify admin)
Why this matters for AI.

When Copilot generates content, DLP rules apply to that output too. So if Copilot drafts an email containing sensitive data, DLP can stop it from going out the door. It’s an extra layer of protection on top of everything else.

Start with two or three rules. Don’t try to boil the ocean on day one.
