How Do We Audit Share Point Shares?

Auditing SharePoint sounds boring, but it’s the single most important thing you can do before turning on Copilot – or really, before doing anything serious with Microsoft 365 security. Here’s the practical walkthrough.
Where to start:
  • Open the SharePoint Admin Center and go to Reports → Sharing
  • Run the Microsoft 365 Permissions Report for an org-wide view
  • Use Microsoft Purview (if licensed) for deeper data discovery and sensitivity scanning
What to look for:
  • Sites shared with "Everyone except external users" – usually unintentional
  • Files shared via "Anyone with the link" – these bypass normal permissions
  • External guest accounts that haven't logged in for 90+ days
  • Sensitive sites (HR, Finance, Legal, Exec) with broad access
Steps to clean it up:
  • Tighten over-broad sharing – switch "Everyone" sites to specific groups

  • Apply sensitivity labels to confidential content
  • Set up auto-expiration on new external shares going forward
